The Internship:

Administrative Associate Intern

The Administrative Associate position is designed to give hands-on experience and highlight the unique personal skills of those wishing to explore the four major areas of an arts presenting organization, specifically during a period of rapid growth. The four areas include: development and fundraising; marketing (both digital and print); event production and coordination; and general and administrative. The Joseph Avenue Arts and Culture Alliance (JAACA) presents all four major art forms: music, dance, theater, and visual arts. In the realm of traditional arts presenters, JAACA is unique in that community outreach and engagement are at the core of our mission and, by creating sustainable practices of equity and inclusion, we begin by ensuring that all of our programs are free and open for all to attend with programming predominantly within the communities of our audiences. Simultaneously, JAACA is completing the necessary funding initiatives to begin renovating our historic building into a state-of-the-art performing arts center after spending the last several years ensuring its historic preservation status on the state and federal level while creating a sustainable model for the development of the property in the community.

Responsibilities:

The Administrative Associate will be responsible for:
  • Promoting the organization, our partners, and events through social media and in weekly e-blasts
  • Coordinating all aspects of programming ahead of performance/educational event
  • Produce records and maintain development database
  • Recruit and train volunteers
  • Recruit and expand audiences by actively engaging community partners and liaisons with promotional materials
  • Coordinate with the graphic designer and printer on promotional materials
  • Create original copy and maintain social media and e-blasts
  • Attend meetings and generate reports as both a learning and leading experience
  • Develop new potential programs or partnerships for future events
  • Reports to the Executive Director
Additionally, Administrative Associates are encouraged to craft their own goals for the position and we will work toward modifying the above in order to meet the associate's goals, and to best highlight the associate's own unique skill set and career objectives.

Requirements:

  • Some knowledge of the four major art forms: music (classical/jazz/gospel/soul), art (static and dynamic), dance, theater (musical and traditional)
  • Excellent organizational, presenting, and communication skills face-to-face and in writing 
  • Knowledge of Google Drive (will be the predominant platform used); email clients (Mailchimp), social media; some use of Microsoft Office 
  • Ability to use and learn Google Sheets and/or Excel with willingness to transition between the two
  • Ability to update records in a database in a timely fashion
  • Interest in revitalizing and transforming a community through the arts
  • Motivated by genuine kindness and willingness to see the good in all as many hands work in many ways to create a catalyst for change
  • Reliable transportation to work and events
  • A personal computer is required or unrestricted access to a 24-hour computer lab
  • Attendance at all events is required. Events are on typically weekend evenings and afternoons (hours at performances will be deducted from overall office commitment to not exceed weekly hour commitment of internship)
  • Ability to prioritize ongoing and immediate responsibilities and to work independently
  • Hours are flexible with work able to be completed away from the office in some instances
  • JAACA has one full-time staff member and an all-volunteer board with limited community volunteer support, all of which work to enable our organization at various working hours with a consistent need to adapt and act on always behalf of the community and our larger mission
